Planning & Assessment Team
September 22, 2009

The meeting was called to order at 10:00 a.m. Meeting notes from the August 25, 2009 meeting of the PAT were approved as reviewed. No meeting was held on September 8, 2009 due to schedule conflicts for members
Charlene updated everyone on progress with Strategic Planning. Nearly all offices have filed final strategic plans. Charlene will be turning in the Strategic Planning matrix showing all department bold goals by goal category to Dr. Meningall on Friday. The document will be reviewed by Dr. Meningall and the E-Team. Plans for the Office of Student Rights and Responsibilities, Multicultural Affairs and Office of Fraternity and Sorority Life will be requested after the new leaders of those units have some time to become familiar with their offices and are ready to consider future plans.
The USF Office of Assessment has implemented a new outcomes assessment plan collection form for 2009-10. Regina has been working on modifying this form for us. We need to ask people to wait to turn in their 2009-10 Outcomes Assessment forms until the PAT can review the new form and recommend any changes needed. We will then need to introduce the form to the department chairs. Kimberly Mallard volunteered to help Regina continue to work on the form. It is planned that the form will be available for review at the next PAT meeting.
Charlene raised the issue that Judi Sherman now has a conflict with this meeting and asked whether the committee would consider changing the time or day of the meeting. The committee agreed that this general time period on Tuesday was still best for everyone else. Shane Johnson suggested that we ask Judi if changing the meeting time by half an hour would help. The team tabled this discussion until Judi could arrive.
Next on the agenda was discussion of the need to add new team members for 2009-10. Dr. Meningall has approved our newest member, Stephen Jones. Stephen is a graduate student and works in Athletics. We need to add another member from an administrative office to replace Steve Milburn. We have also discussed asking another faculty member or administrator from another division to join the group
Charlene distributed 2009-10 strategic goals for the Office of Student Affairs Planning, Evaluation and Assessment. Projects included developing and implementing Key Success Indicators for the Student Affairs Strategic Planning process, developing and sponsoring an assessment workshop series for division personnel, developing and implementing a staff credentials system, developing and pilot testing a departmental evaluation process for the division and providing improved opportunities for obtaining, understanding and using data about students in the division. It is expected that PAT be providing advice and guidance for progress in these areas.
Judi Sherman arrived and a discussion of meeting times for the fall term ensued. It was agreed that we would try meeting 10:30-12:00 a.m. on alternate Tuesdays for the rest of the fall term and move back to the original schedule in the spring.
Regina congratulated and thanked Eric Hunter and Kimberly Mallard for their successful presentation of campus recreation data at the “What We Know…..” seminar held September 15, 2009. The presentation focused on results of a survey and research project looking at use of and satisfaction with campus recreation facilities. It was reiterated that the purpose of the seminars and the assessment workshops that we are sponsoring for the fall term are multi-fold. They include increasing awareness of original research being conducted by USF Student Affairs offices, sharing results with colleagues to stimulate conversation and thought about how to better understand and serve our students, and modeling use of research and assessment results by departments to support continuous improvement. It will take time to develop the audience for these presentations, as we have not had anything like this in recent years. PAT members agreed to encourage their colleagues to attend the “What We Know….” seminars and the assessment workshops, and encourage senior staff to attend and support the sessions.
