Meeting Notes of the USF Student Affairs
Planning & Assessment Team
July 14, 2009

Attending: Regina Hyatt, Kimberly Mallard, Gary Manka, Susan Phillips, Tom Miller, Olga Skalkos, Judi Sherman, Charlene Herreid

The minutes from June 16, 2009 were approved as read. No meeting was held June 30, 2009 due to vacation schedules.

Charlene is preparing to send the Strategic Planning Feedback Forms on to the departments this week. Please send her all outstanding feedback forms. Dr. Meningall has asked that the department chairs fill out an annual departmental summary form outlining their achievements and challenges over the past year. She would like for that request to go out with the Strategic Planning feedback forms.

Members discussed what we have learned from the strategic planning feedback process. We will need to work on the instructions for the Strategic Plan forms for next year. The main problems this time were: 1) many goals did not seem BOLD, 2) timelines for the action steps were not present (not surprising because we did not ask for them) and 3) some of the goals people listed were not measurable. We will discuss these issues in more depth after the departments file their final Strategic Plans for 2009-10 and consider how to change the directions for the process to improve quality of the departmental plans for next year.

Regina brought up the issue of PAT goals for next year. We need to solicit presenters for the “What We Know…..” sessions for the fall. These presentations should cover research related to topics of interest to members of our division. Some suggestions were reporting on the CSEQ survey results from Spring 2009, reporting on results of an Academic Integrity (cheating) study done at USF a couple of years ago, discussing CORE and results of the MLS leadership survey administered here in Spring 2009. We want to encourage the scholar/practitioner model for Student Affairs by sharing research findings and integrating results into our practice. Student presenters such as graduate students in the College Student Affairs program are welcome.

Other needs for next year including identifying Key Success Indicators for the Division and developing outcomes assessment resources for Student Affairs personnel. In addition, Dr. Meningall has requested that we work on developing a departmental evaluation process based on CAS standards in the coming year. These evaluations would be based on the CAS Self-Assessment Guides (SAG) and would rotate among departments so that a few departments each year would conduct an evaluation until all departments were covered. Along with these activities, PAT will continue to expand and refine the divisional and departmental Strategic Planning and Outcomes Assessment processes.

The meeting was adjourned at 11:15 a.m.
